CIET is in search of an administrative assistant

Founded in 1996, the Canadian Institute for Energy Training (CIET) is a training centre that offers a vast array of sustainable energy training programs throughout Canada and the world. CIET specialises in providing high-level training and certification programs that cover energy management and energy efficiency. The training centre has proudly been a leader in the field for 25 years.

 

The tasks and duties of the administrative assistant include providing administrative support to optimize the operations of both CIET and Econoler by cooperating with directors and employees on a variety of tasks related to organising training (CIET), providing administrative support and logistics (Econoler), and communication (reception).

MAIN DUTIES 

 

Supporting the training centre (80%) 

  • Prepare attendance certificates, letters, and other mailing documents.
  • Prepare and manage paper mailings (certificates, attendance lists, etc.).
  • Manage payments and invoices using the registration and payment system and enter invoices into the accounting system.
  • Follow up on and compile application forms submitted to CIET certification programs.
  • Export and import the contact lists between certain CIET tools.
  • Respond to calls and emails from client that have questions about the registrations (payments, changes to registrations for courses and exams, cancellations, postponements, etc.).

 

Providing administrative support and logistics to Econoler (15%)

  • Receive, distribute, and manage mail, courier shipments, and faxes.
  • Make VISA requests, prepare and send forms, follow up on and ensure that deadlines are respected.
  • Order meals for meetings.
  • Manage printers, photocopiers, and scanners.
  • Manage business trips (reserve train tickets, hotel rooms, etc.).
  • Manage the office supply inventory.
  • Carry out all other related tasks.

 

Econoler reception (5%)

  • Welcome visitors.
  • Respond to information requests by phone or email.
  • Respond to emails sent to the general inbox of the firm and coordinate the flow of information.
  • Maintain updated telephone lists.

 

REQUIRED PROFILE

  • Fastidious and rigorous.
  • Excellent French.
  • Good level of English.
  • Good organisational skills.
  • Proactiveness

  • Ability to communicate.
  • Ability to adapt.
